This draft must be reviewed before commercial release. The product is initially intended for Vietnam on macOS, Windows and Web. Prices and the cloud backup retention period have been decided; operator information is still being completed; Google/Apple authentication is implemented and payments are not integrated. Terms concerning future services apply only when those features are released and users are informed.

1. Product and scope

Teacher Gradebook is a personal support tool for teachers to organize classes, record grades and attendance, take notes and export data. The app does not automatically become a school’s official system and does not replace records, approval procedures or retention obligations required by the educational institution. Accurately describing the product’s scope does not exempt the publisher or users from legal obligations.

Publisher: the individual operating Teacher Gradebook; contact information will be added before accounts and payments are enabled. These terms accompany the Privacy Policy.

2. Conditions and permitted use

Users must be authorized to use the device and comply with the law, educational institution rules and the rights of students and parents. Do not use the app for unauthorized access, malware distribution, service overload or unauthorized collection or disclosure of other people’s data. Do not put passwords, access keys, unnecessary sensitive data or internal school documents in notes.

3. Responsibilities for student data

You must be authorized to process student information under school rules and applicable requirements. Enter only necessary data and protect devices and exports. Do not enable sync if your institution does not permit uploading data to an external service.

Sync is off by default for each account on a device and requires separate confirmation. The app reminds you to check your authority to upload class data and read the privacy information. This action does not replace consent from students or representatives where required.

4. Accounts and access security

You can use local features without an account. Google/Apple verify sign-in through the server; new accounts are Free. Protect your sign-in methods, sign out on shared devices and report suspected unauthorized access. Accounts are not automatically merged by matching email; linking requires verification of both methods. Do not share personal accounts when this could expose student data.

5. Free and Pro plans

Free allows local data management with up to 2 semesters, up to 8 gradebooks per semester and unlimited classes. Users can make manual backups and delete old gradebooks or semesters to create new ones within the limits. Pro is planned to include advanced reports, unlimited semesters, unlimited gradebooks per semester, cross-device and cross-platform sync, up to 5 signed-in devices with a maximum of 1 device(s) per platform, and cloud backups of up to 30 gradebooks and 100 classes. There is no limit on classes created locally; cloud backups that exceed the limit will be rejected without deleting data on the device. Planned prices in Vietnam: 29,000 VND per month, 249,000 VND per year or 490,000 VND for lifetime access, with no free trial. The lifetime plan includes cloud services for the lifetime of the service; conditions for service discontinuation and refunds will be published before sales begin.

Plans are not currently on sale and payments have not been integrated. Before sales begin, the purchase page will disclose payment methods, billing period start and end dates, renewal, cancellation, refunds and contact information. Pro access is granted only through an audited super admin grant or after the server verifies the transaction; displaying a price does not create a transaction.

6. Backup, restore and sync

Export backups regularly and check before restoring. Clearing browser storage or losing a device may lose local data. Pro whole-account sync runs only after you enable it. When both devices change, you must select one copy and can export a safety copy to preserve other changes.

Expired or revoked Pro stops sync immediately. Cloud data is retained for manual export or deletion for 30 days, then removed from active storage with its history. The app displays the retention deadline. Reminder email delivery depends on the email service configuration; do not rely only on email. Ending Pro does not delete local data.

7. Software and data rights

The interface, source code, trademarks and product content belong to the publisher or their lawful owners. Use of the app grants only the right to use the functionality provided. These terms do not transfer ownership of data entered by teachers to the publisher. Whether a teacher is entitled to process student data depends on their relationship with students, parents, the school and applicable law.

8. Reasonable limitations and handling violations

The app supports individual work and may contain errors, experience interruptions or produce differences when importing or exporting data. Users must check results before using them for official decisions. The publisher will receive and handle bugs, security incidents and complaints through support. Any compensation or limitation of liability must comply with mandatory law and must not exclude consumer rights or the rights of personal data subjects.

9. Changes and ending use

Features may be updated for security, compatibility or user needs. Significant changes to prices, entitlements or data processing will be announced in advance in accordance with applicable requirements. Purchased rights and any refund obligations will be handled under the transaction terms in effect at the time of purchase. Users can stop using the app and delete local data; once accounts are available, account deletion requests will be explained on the Account Deletion page.

10. Contact and complaints

[A support email address must be added before release.] When submitting a request, do not include passwords or complete student datasets unless necessary. The parties will first seek to establish the facts and resolve matters through support; rights to complain to competent authorities under the law remain unaffected.
